Vicky — Terms of Use
1. Who we are and what these terms cover
Vicky is an education platform for the health sciences. It is made up of:
- the platform at vickylabs.ai;
- the Vicky app for iPhone, iPad and Android;
- the Vicky VR app for Meta Quest.
Vicky is provided by Π ΙΔΙΩΤΙΚΗ ΚΕΦΑΛΑΙΟΥΧΙΚΗ ΕΤΑΙΡΕΙΑ (Pi Private Company, «Pi tech», «we»): VAT EL801289442, GEMI 153620048000, K. Karamanli 67, 546 42 Thessaloniki, Greece.
These terms apply together with the privacy policy (vickylabs.ai/privacy-policy). For your personal data, the privacy policy prevails.
2. Vicky reaches you through your organisation
- The organisation that invited you, for example a university or a hospital, has chosen to use Vicky. For your data, it is the controller. We are the processor: we process your data on its behalf.
- What your organisation has agreed with us (for example duration, availability, data retention) applies between it and us. These terms say what applies to you when you use Vicky.
- You pay us nothing, and there are no purchases inside Vicky.
3. How you get an account, and your role
- You can get an account only by invitation from your organisation. There is no open sign-up.
- You must be at least 18.
- Your organisation sets your email with the invitation. You enter your name when you sign up.
- Your organisation gives you a role: student, instructor or organisation administrator. Your role decides what you can see and do. Your organisation also decides which courses, labs and assessments you can open.
- The Pi tech team has its own roles, to run and support the platform.
4. How you accept these terms
- When you create your account, we ask you to accept these terms. If you already had an account before this version, we ask you the next time you sign in. We record which version you accepted, and when.
- We give you the privacy policy so that you know how we process your data. We do not ask for your consent with it.
- If you do not accept these terms, you cannot use Vicky; talk to your organisation.
5. Your account
- Your account is personal. Do not share your password, and do not sign in as someone else.
- If you think someone has got into your account, do three things:
- change your password;
- tell the administrator of your organisation;
- write to us at [email protected].
6. Credits and usage limits
- The AI features of Vicky are measured in credits. Examples are the chat and the creation of lessons and assessments.
- Your organisation has a credit plan that renews every month. Your share of it is a personal limit that renews every week, on Monday.
- When your limit or the plan of your organisation runs out, the AI features pause until the next renewal.
- Pi tech sets the limits, and they may change.
- You cannot buy credits, they cannot be transferred, and they have no money value.
7. Vicky and AI
- Vicky is an AI, not a person. The first time you open her, we tell you so in a separate notice, which you acknowledge.
- You write to her. She does not listen to your voice. She can read her answers aloud.
- Not medical advice. Her answers are educational. They are not a diagnosis or treatment instructions, and they do not replace your instructor, official protocols or clinical judgement.
- Vicky can make mistakes, even when she sounds sure. Check anything important against a reliable source or with your instructor.
- Do not use Vicky to make decisions about real patients. People are responsible for any such decision: you, your supervisor and your organisation.
- Quizzes are not graded by AI. Each answer is matched against the answer key your instructor set. If you think a score is wrong, talk to your instructor.
- Material your instructor creates with Vicky. You see a lesson your instructor made with Vicky only after your instructor publishes it. Your instructor and your organisation are responsible for what is published in your course.
- Your conversations and learning profiles. Your conversations with Vicky are stored on your account. Vicky builds two learning profiles for you: what you appear to have understood, and how you learn. Inside Vicky, only you can see your conversations and both profiles; your instructor and the administrators of your organisation cannot. When you rate an answer, the Pi tech team sees your question and that answer. What else Pi tech can see, and when, is set out in the privacy policy.
8. Content and intellectual property
-
Ours. These belong to us or to those who licensed them to us:
- Vicky and its apps;
- the labs;
- the software;
- the name and the logo.
We give you a personal, non-exclusive, non-transferable right to use them for your education, for as long as your organisation gives you access.
-
Your organisation and your instructors. Documents, slides, lessons and assessments they upload or create belong to them or to those who licensed them. Do not copy or share them outside Vicky without their permission.
-
Lessons and questions your instructor creates with Vicky. We treat them like the rest of the material of your organisation.
-
Yours. What you write or upload stays yours: messages, answers to assessments, feedback. You allow us to process it only to provide Vicky to you on behalf of your organisation. Who in your organisation sees your results is set out in the privacy policy (§7.1).
-
The answers of Vicky. You may use them for your studies.
-
If you think content on Vicky infringes your rights, write to [email protected].
9. What you must not do
When you use Vicky:
- No patient data. Do not type or upload anything that could identify a real patient, and no health information about yourself or anyone else. When you want to discuss a case, make it hypothetical.
- No sharing of assessments. Do not publish assessment questions, answers or solutions without the permission of your instructor. Follow the academic integrity rules of your organisation.
- No misuse of Vicky. Do not try:
- to get around her safety rules;
- to extract her instructions;
- to make her produce content that is illegal, harmful or offensive.
- No attacks on the platform. Do not try:
- to see the data of other users or other organisations;
- to test its security without our written permission;
- to overload it;
- to copy its content in bulk;
- to get around usage limits.
- Only material you are entitled to. Upload only material you have the right to upload.
10. Labs, AR and VR
- The labs are simulations for practice. They open in the browser, in the VR app and, where available, in AR. They do not certify you for any clinical procedure.
- Mind your surroundings:
- Use AR and VR in a safe, clear space.
- Never use them while walking in the street, driving or operating machinery.
- Take breaks, and stop if you feel dizzy or unwell.
- In VR, also follow the instructions of your headset maker.
11. Availability and changes to Vicky
- We work to keep Vicky running well and without interruption, but we do not guarantee this to you. It may pause briefly for maintenance, for an update or because of a fault. Any availability commitment is in the agreement between your organisation and us.
- We keep improving Vicky, so we may add, change or remove features.
12. Suspension and ending access
- By your organisation. Your organisation can end your access, for example when your studies end or when its work with us ends.
- By us. If you break section 9, we may limit or suspend your access after telling your organisation.
- By you. You can ask for your account to be deleted by writing to [email protected]. Our team carries out the deletion. How long it takes is set out in the privacy policy.
- Sections 8, 14 and 16 survive the end of access.
13. Your data
What data we process, how long we keep it, who sees it, which sub-processors take part, and how you exercise your rights are all set out in the privacy policy. For requests about your data, contact your organisation first; you may copy [email protected].
14. Liability
- Vicky is an educational tool. As far as the law allows, we are not liable for decisions you make based on her answers or the labs, in particular for acts on real patients.
- Nothing in these terms limits liability that the law does not allow to be limited, nor your rights as a consumer.
15. Changes to these terms
Each version has a number and a date. If we change something important, we will tell you inside Vicky before it takes effect, and ask you to accept the new version. The current version is always at vickylabs.ai/terms.
16. Law and disputes
- These terms are governed by Greek law.
- If you have a complaint, write to us first. For academic matters, such as grades or access to courses, go to your organisation.
- The courts of Thessaloniki have jurisdiction. This does not take away any right you may have as a consumer to go to the courts where you live.
17. The iPhone and iPad app
If you downloaded the app from the App Store, the standard licence of Apple (Licensed Application End User License Agreement, https://www.apple.com/legal/internet-services/itunes/dev/stdeula/) also applies to the app. These terms apply together with it.
